CONSTITUTION
SAINT XAVIER UNIVERSITY CHESS CLUB

Ratified September 20, 2007 

ARTICLE I. NAME.  

Section 1. The name of this student organization shall be the Saint Xavier University Chess Club.

 

ARTICLE II. PURPOSE.  

Section 1. The purpose of the organization shall be:  

a. to promote the game of chess throughout the Saint Xavier Community;

b. to create a forum for the Saint Xavier Community to learn the basics of chess;

c. to strengthen the chess skills of active members through tournaments, matches, online play, lessons, and other chess-related activities; 

d. to allow members to deepen important problem-solving skills;

e. to promote a sense of community within the University. 

 

ARTICLE III. MEMBERSHIP AND DUTIES.  

Section 1. Membership in this organization shall be open to the entire Saint Xavier Community, but students, faculty, and staff will be particularly sought.  

Section 2. There shall be no dues.  

ARTICLE IV. OFFICERS.  
Section 1. The executive officers of the organization shall consist of a president, a vice president, a secretary, and a treasurer.  
Section 2. Duties and powers:
 

a. The President shall preside at all meetings, call special meetings, appoint committees, represent the club to the Saint Xavier Community, take ultimate responsibility for all group meetings, and assume overall responsibility for the club and its activities. 

b. The Vice President shall perform the duties of the president in that person's absence, serve as program chairperson, make any announcements to the Saint Xavier Community through available channels, and maintain a record of all official meetings.  

c. The Secretary shall keep an accurate, permanent record of the organization, take charge of all correspondence, notify the appropriate publication outlets of activities, post information regarding meetings and activities through available channels, make necessary reports, keep the detailed record of all meetings, and welcome all new members.

d. The Treasurer shall attend budget workshops, submit budget requests to the Department of Student Activities in accordance with the organization’s mission and goals, keep an accurate and complete record of all monetary transactions, collect any membership dues or monies for special activities, disburse money in accordance with the regulations of Saint Xavier University, see that students and other organizations are reimbursed for expenses related to and approved by the Club, prepare each semester budget, oversee the approval process by the Student Activities Board at the end each semester, appropriate any funding, order or purchase items at best available prices as approved by the Club, and file an end-of-year report of all group expenses with the Club and other such agencies or departments as may be from time to time designated at the University.

Section 3. Election of officers: 
 

a. The officers shall be elected each spring semester for the following academic year to allow time to prepare for program and budget planning, revisions of the constitution as needed, preparation of registration materials, and become familiar with Club operations and resources.

b. Officers must be full-time students in good standing.

c. The candidate shall be nominated by an appointed nominating committee or from the floor at the designated election meeting.

d. Voting shall take place by secret ballot at the designated election meeting.

e. A majority of all votes cast shall be necessary for election.

f. Following each election or change of any officer/advisor, the Department of Student Activities will be notified in writing within one week.

 

 

ARTICLE V. MEETINGS.  

Section 1. The Saint Xavier Chess Club shall meet monthly at a time and place determined by the executive officers.  

 

ARTICLE VI. QUORUM.  

Section 1.  One-half (½) of the members of the organization shall constitute a quorum to transact business.

ARTICLE VII. AMENDMENTS.  

Section 1. Proposed amendments shall be submitted in writing, read at a regular meeting, published through available distribution channels, and acted upon at the following meeting.  

Section 2. This constitution may be amended by a majority of two-thirds (2/3) of those members at the meeting.  

ARTICLE VIII. RATIFICATION.  

Section 1. A two-thirds (2/3) majority of those present at the first meeting of the newly-formed organization will be necessary to ratify this constitution.  

ARTICLE IX. ANTI-HAZING STATEMENT.  

Section 1. The Saint Xavier Chess Club considers hazing to be a most destructive and degrading activity which is inconsistent with the standards of this student organization. The Saint Xavier Chess Club recognizes the dignity of every individual and opposes all forms of hazing.

ARTICLE X. NON-DISCRIMINATION STATEMENT.  

Section 1. The Saint Xavier Chess Club admits students without regard to race, religion, color, sex, age, sexual orientation, disability, veteran status, national or ethnic origin, or citizenship status to all the rights, privileges, programs, and other activities generally accorded to or made available to members of the organization.

Article V, Section 1:  Change frequency from weekly to monthly.  10/18/07.
